Role Overview

Reporting to the Executive Assistant of the Director General, the Office Manager will play a crucial role in ensuring the smooth operation of the Directorate. Responsibilities include welcoming visitors, handling phone calls, scheduling appointments, managing the supervisor’s calendar, drafting correspondence, and organizing document filing. The Office Manager’s role will be essential to the daily functioning of the Institution and requires a high level of accessibility and responsiveness, balancing competing demands from both internal and external stakeholders.

Role and Responsibilities

  • Schedule Management: Welcome visitors, manage appointments, maintain the supervisor’s calendar, make phone calls, screen incoming calls to assess their urgency, and ensure proper coordination of the Director’s schedule.
  • Administrative Support: Organize meetings, draft, type, and follow up on administrative letters, manage meeting room bookings, and provide necessary office supplies.
  • Mail Management: Develop a system for tracking incoming and outgoing mail, ensure proper archiving and filing of documents, manage correspondence, and follow up on documents requiring the Director’s signature.
  • Office Supplies Management: Monitor office supplies, and order stationery, furniture, appliances, and electronics as needed.
  • Additional Duties: Perform other tasks as assigned by superiors.

Academic Qualifications and Experience

  • A minimum of a High School Certificate, a University Degree, and additional training in Administrative Science or Management is preferred.
  • At least six years of experience in secretariat or program management, with skills in editing, drafting communications, and providing editorial assistance. Fluency in written and oral communication in one or more ECOWAS languages is required.
  • Proven managerial skills, leadership abilities, and experience working in a diverse international environment.
  • Age: Minimum age for recruitment is 24 and maximum is 50, with no age limit for internal candidates.
  • Language Requirements: Candidates must be fluent in one of the official ECOWAS languages (English, French, or Portuguese), and knowledge of a second official language is a plus.
