Roles and Responsibilities
The IM/Document Controller is primarily responsible for verifying and validating the completeness and adequacy of documentation necessary for safe work execution on-site. Additionally, the role involves managing the sorting, retrieval, and tracking of both electronic and physical documents produced by technical teams, projects, or departments, ensuring they are handled in a timely, accurate, and efficient manner. These documents may be sensitive or confidential and must be stored securely and in compliance with SCiN’s guidelines.
The candidate should demonstrate at least a basic understanding of the role and responsibilities. The IM/Document Controller’s duties include:
- Manage and monitor the flow and storage of documents within the system.
- Ensure all facility documents are up-to-date and approved, and review expired or outdated documents promptly.
- Maintain an updated access control register and loan register, ensuring loaned records/materials are returned to the document control center.
- Implement and enforce document management policies, standards, and procedures.
- Safeguard the physical integrity of records and ensure information security during operations.
- Oversee the handover of documents after project commissioning, ensuring traceable distribution, filing, and archiving of documents from contractors and vendors.
- Verify that necessary isolation, hazard controls, and valid documentation are in place during work execution.
- Ensure compliance with the IM manual and guidelines, aligned with AMS processes.
- Conduct audits and assessments to evaluate and improve the IM system, performing periodic checks on critical facility documentation.
- Ensure the proper deployment of IM tools and processes.
- Ensure the team is aware of and follows IM processes, standards, and guidelines.
- Manage the general administration office of the FLB.
- Oversee flight bookings and liaise with Air Operations for optimization.
- Handle FLB accommodation allocations and optimize them as necessary.
Work Cycle:
- The role is based at a land-based site (Soku Gas Plant & Flow Station), accessible by air.
- Based in Port Harcourt, with possible courses and assignments in Shell IA PHC or other locations as required.
- The work schedule is 12-hour shifts (7 am to 7 pm) on a 21-day rotation, with a 3-week on, 3-week off pattern.
- The successful candidate will coordinate their absence with their contractor for suitable cover.
- Extended hours may be required as needed.
Requirements:
- Candidates should have at least a higher qualification (HND/Bachelor’s) in any discipline.
- A minimum of 5 years of experience in Document Control, Information Management, Administration, Record Keeping, or a related field.

Desirable Skills:
- Proficiency in Microsoft Office (Word, Excel, PowerPoint, Outlook).
- Strong typing and editing skills.
- Basic computer operation skills.
- Experience in the oil and gas industry is an advantage.
- Familiarity with SharePoint, Assai, and EDW software is a plus.
- Knowledge of electronic Document Management Systems (DMS) is advantageous.
- Understanding of logistics planning, allocation, and scheduling is beneficial.
