Job Summary

This position involves greeting visitors, understanding the purpose of their visit, and escorting them to the appropriate destination. You will handle routine correspondence, respond to inquiries, and ensure that incoming letters are appropriately filed and attached with necessary responses. Additionally, you will take and distribute meeting minutes and manage incoming and outgoing mail.

You will be responsible for organizing and maintaining both digital and paper filing systems for documents, records, and reports. Communication will be conducted via computer, mail, and fax. The role also involves preparing and editing various documents, such as memos and letters, using word processing, spreadsheets, and presentation software.

Updating and entering data into computer databases, as well as responding to guest inquiries, will be a key part of your duties. You will operate office equipment, including phones, fax machines, and photocopiers. It’s essential to document and communicate guest requests or complaints to the appropriate personnel.

This role requires adherence to company policies, maintaining a clean and professional appearance, and ensuring confidentiality of all information. Building strong relationships with colleagues and contributing to team success through effective communication is essential. Clear and professional communication with guests is crucial, both in person and via telephone.

Additionally, you will ensure guest needs are met, assist individuals with disabilities, and thank guests appropriately. Some physical tasks, such as lifting objects up to 10 pounds, may be required. You will also be expected to carry out any other tasks as assigned by supervisors.
