About the Job

The Team Assistant plays a key role in supporting the team by performing a wide range of administrative, secretarial, analytical, and research tasks. In this position, strong organizational skills are essential, as the Team Assistant will be managing multiple priorities and tight deadlines while supporting several team members with varying responsibilities and agendas.

Additionally, the Team Assistant will provide confidential support to the Functional Director, efficiently managing their schedule and coordinating activities. Collaboration with colleagues across different departments will also be crucial to ensure team effectiveness and cohesion.

What You’ll Be Doing

  • Provide confidential administrative support to the Functional Director, including managing their calendar, organizing meetings, preparing materials and presentations, arranging travel and venues, and liaising with internal and external stakeholders.
  • Support the functional leadership team by organizing meetings, preparing relevant materials and presentations, arranging travel, and coordinating with key contacts.
  • Oversee office management tasks, including coordinating stationery and hospitality requirements, and liaising with the facilities management team.
  • Track and monitor department expenditures, performing reconciliations as required.
  • Ensure the timely processing of payments, including supplier payments and follow-ups with purchasing and finance teams to ensure smooth transactions.
  • Process all incoming and outgoing mail, organize corporate documents and reports, and handle inquiries and requests as necessary.
  • Ensure effective department housekeeping, including ordering office supplies and equipment.
  • Perform other duties as needed to support the team and department’s operations.

What We Are Looking For

  • Bachelor’s degree in any discipline.
  • 3–5 years of office administration and coordination experience.
  • Strong written and oral communication skills.
  • Proficiency in SAP is essential.
  • Advanced computer skills, particularly in Excel, Word, PowerPoint, and email applications.
  • Excellent time management skills with the ability to prioritize effectively.
  • High attention to detail.
  • Ability to handle confidential information with discretion.
