Key Responsibilities
Documentation:
- Maintain accurate and up-to-date records of all vehicles within the city jurisdiction and track their status at all times.
- Ensure that records entered into VAMS are error-free and reliable.
- Work closely with the Driver Operations team to monitor vehicles and ensure that inactive vehicles in your area do not exceed 2% at any given time.
- Keep a daily record of vehicle activations in your jurisdiction.
- Ensure that every vehicle entering and leaving the facility is checked in and out accordingly.
Vehicle Setup:
- Oversee the setup of newly acquired vehicles within defined timeframes and budgets.
- Coordinate the vehicle documentation process to complete the setup cycle.
- Ensure that all vehicles ready for activation are activated.
- Accurately upload vehicle information into VAMS.
Vehicle Maintenance:
- Ensure that vehicles scheduled for maintenance are checked in and recorded in VAMS.
- Maintain comprehensive records of vehicle maintenance and servicing.
- Coordinate with authorized service workshops in your jurisdiction to ensure service records are entered into VAMS.
- Work with OEMs to ensure warranty issues are tracked and resolved.
- Follow up to ensure insurance claims are processed within the allocated time and ensure vehicles are returned to service.
- Ensure compliance with all relevant Federal, State, and Local laws related to vehicle repair, equipment use, and maintenance.
- Responsible for the upkeep of all operational vehicles within your jurisdiction, including those used by verification, retrieval teams, etc.
Vehicle Refurbishment:
- Ensure that deactivated or churned vehicles are assessed and scheduled for refurbishment promptly.
- Follow up to ensure churned vehicles are re-certified within the designated timeframe as per the SOP.
Fleet Security:
- Ensure all vehicles are tracked and report live location data on the IoT platform.
- Escalate any vehicle security issues to management and ensure timely resolution.
Administrative Functions:
- Lead the team to foster collaboration and enhance morale.
- Develop strategies to reduce costs, increase profits, and improve operational efficiency.
- Prepare and present a team budget to management for analysis and approval.
- Efficiently manage petty cash, ensuring accountability.
Required Qualifications:
- Minimum of HND in Engineering, Business, or a related discipline.
- At least 4 years of relevant experience as a Fleet Officer.
Skills and Abilities:
- Strong interpersonal and communication skills (both written and oral).
- Excellent knowledge of inventory control principles and practices.
- Proficient in MS Office/Google Workspace.
- Solid understanding of fleet management.
- Strong critical thinking and analytical skills.
- High level of accuracy and attention to detail.
- Ability to maintain confidentiality and ensure thoroughness in all tasks.
